Getting Started

What is Markum?+

Markum is a document approval and e-signature platform designed for creative teams, freelancers, agencies, and legal professionals. You can:

  • Send documents for approval to clients without requiring them to have an account
  • Use e-signatures for legally binding contracts and agreements (ESIGN Act and eIDAS compliant)
  • Manage approvals and feedback in one place
  • White-label the platform with your own domain (agencies)
How do I get started with Markum?+
  1. Sign up for a free account at markum.app
  2. Create your first approval workflow by uploading or pasting a document
  3. Add approval fields (checkboxes, signatures, text input, etc.)
  4. Add client emails and click Send
  5. Track approval status in real-time
Do my clients need a Markum account?+

No! Clients receive a magic-link via email that takes them directly to the document. They can approve or sign without creating an account or downloading anything.

What browsers does Markum work on?+

Markum works on:

  • Chrome (recommended)
  • Firefox
  • Safari (Mac, iPhone, iPad)
  • Edge (Windows)

If you encounter issues, try a different browser or clear your cache.

Is there a mobile app?+

Yes, Markum has iOS and Android apps available on the App Store and Google Play. Mobile signing works the same way as web -clients receive a magic-link and can approve/sign on their phone.

Approval Workflows

How do approval workflows work?+
  1. You upload or create a document in Markum
  2. You add approval fields (where clients sign, write feedback, check boxes, etc.)
  3. You enter your client's email address
  4. Markum sends an approval request email with a magic-link
  5. Your client clicks the link, reviews the document, and approves (or leaves feedback)
  6. You're notified in real-time when they've approved
  7. You download the approved document with all signatures and feedback
What approval field types are available?+
  • Signature field: For e-signatures (legally binding)
  • Checkbox: For client to confirm understanding (e.g., "I agree to terms")
  • Text field: For client to enter text (name, address, feedback, etc.)
  • Date field: For client to enter a date
  • Initials field: For client to provide initials
  • Approval field: Simple "approve" button without signature
Can I send to multiple people at once?+

Yes! You can add multiple client emails to a single approval request. You can set it to require approval from all people, or just the first to approve.

How long are approval links valid?+

Approval links are valid for 30 days from the date you send them. After 30 days, you'll need to resend a fresh link. This is a security feature to prevent unauthorized approvals on old requests.

What if my client can't access the approval link?+

Try these steps:

  1. Check spam/promotions folder - Our emails sometimes end up there
  2. Verify the email address - Make sure you spelled it correctly
  3. Ask your client to whitelist us - Have them add noreply@leonenkogroup.com to their contacts
  4. Resend the link - In Markum, click "Resend Approval" to send a fresh link
  5. Try a different browser - Some browser privacy settings can interfere

Can I set approval reminders?+

Yes! You can enable auto-reminders to send your client a gentle nudge if they haven't approved within 3-7 days. This keeps projects moving without you having to manually follow up.

Can I approve my own documents?+

Yes, you can include your own email and approve as part of the workflow (e.g., "reviewed by me, approved by client").

E-Signatures

Is Markum's e-signature legally binding?+

Yes. Markum's e-signature system complies with:

  • ESIGN Act (US federal law) - Digital signatures are legally equivalent to handwritten signatures
  • eIDAS Regulation (EU) - Digital signatures are legally recognized in Europe

E-signatures in Markum are enforceable in contracts, agreements, and most legal documents in the US, EU, and most other jurisdictions.

Note: We're not lawyers. For complex legal situations, consult a lawyer in your jurisdiction.

What information is captured when someone signs?+

Markum captures a complete audit trail for every signature:

  • Signer's name and email
  • Date and exact time of signature
  • IP address used for signing
  • Browser and device information
  • Any changes made before signing

This audit trail can be used as legal evidence if needed.

Can I add signature fields anywhere on the document?+

Yes! You can place signature fields, initial fields, date fields, and other approval elements anywhere on your document. Clients click the field and sign using their mouse, trackpad, or stylus (if on tablet/phone).

What if my client misspells their signature?+

Clients can re-sign the field as many times as they want until the document is finalized. Once you download the approved document, it's locked and cannot be edited.

Can clients sign on mobile?+

Yes! The approval link works perfectly on iPhone, iPad, Android, and any mobile browser. Signing on mobile is intuitive -clients can use their finger, stylus, or just type their name.

Documents & PDFs

What file formats does Markum accept?+

You can upload:

  • PDF (recommended)
  • Word documents (.docx, .doc)
  • Images (.jpg, .png)
  • Text (copy/paste into editor)

The document will be converted to a viewable format for client approval.

Can I edit documents in Markum?+

Yes! Markum has a built-in editor where you can:

  • Add text and shapes
  • Upload images
  • Adjust formatting
  • Position approval fields

Or, you can upload an already-designed document and just add approval fields.

How do I export the approved document?+

Once all signatures are complete:

  1. Log into Markum
  2. Find the approval workflow
  3. Click Download Approved Document
  4. You'll get a PDF with all signatures, dates, and client feedback embedded
Why is my PDF export formatting wrong?+

PDFs can sometimes render differently based on fonts, images, and browser. Try these:

  1. Use standard fonts - Fonts like Arial, Times New Roman, Calibri work best
  2. Reduce image resolution - High-res images can cause layout shifts
  3. Try a different browser - Export from Chrome vs. Firefox sometimes produces different results
  4. Check the preview - In Markum, preview the document before exporting

If formatting is slightly off but usable, you can fine-tune it in a PDF editor like Adobe Acrobat or free tools like Preview (Mac).

What's the file size limit for documents?+

Documents should be under 10 MB. If your document is larger:

  • Compress images
  • Split into multiple workflows
  • Remove unnecessary content
Can I save a draft before sending to clients?+

Yes! You can save approval workflows as drafts and send them later. Draft workflows appear in your "Drafts" folder -when ready, click "Send" to email the approval link to clients.

White-Label for Agencies

What is white-label in Markum?+

White-label lets you customize Markum with your agency's branding:

  • Use your own domain (e.g., approvals.yourcompany.com)
  • Add your agency logo and colors
  • Clients see your brand, not Markum's
  • Perfect for agencies that want a seamless client experience
How do I set up a white-label domain?+
  1. Verify you have a domain: You need your own domain (e.g., yourcompany.com)
  2. Update DNS records: Point a subdomain (e.g., approvals.yourcompany.com) to Markum
    • Markum provides the exact DNS target in your account settings
    • Ask your domain provider (GoDaddy, Namecheap, etc.) to add a CNAME record
  3. Wait for SSL certificate: Markum automatically generates an SSL certificate (green padlock) -this takes up to 24 hours
  4. Test the domain: Access your custom domain and confirm it loads with your branding
What domain should I use?+

Common options:

  • approvals.yourcompany.com - Most common
  • sign.yourcompany.com
  • contracts.yourcompany.com

Pick a subdomain that makes sense for your use case.

I've set up the DNS but the domain still isn't working. What's wrong?+

DNS changes take time to propagate (usually 5-15 minutes, sometimes up to 24 hours). Try:

  1. Check propagation: Use a free tool like whatsmydns.net to see if the DNS has updated
  2. Clear your browser cache: Hard refresh (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac)
  3. Try from a different network: Mobile hotspot or VPN to test if the domain works outside your office network
  4. Confirm SSL certificate: Check that a green padlock appears -sometimes the certificate takes 24 hours

How much does white-label cost?+

White-label is included in Markum's Pro plan ($99/month). If you're on the Standard plan, upgrade to Pro to enable white-label.

How many custom domains can I set up?+

With a Pro account, you can set up one primary white-label domain. For multiple subdomains under the same domain (e.g., approvals.yourcompany.com AND contracts.yourcompany.com), let us know and we can help configure that.

How do I upgrade from Standard to Pro?+

  2. Go to Account SettingsBilling
  3. Click Upgrade to Pro
  4. Confirm your new plan
  5. You'll be charged a prorated amount for the remainder of your billing cycle
Can I add extra team members?+

Yes! Each account comes with a set number of seats:

  • Standard: 1 seat
  • Pro: 3 seats

Each additional seat is $10/month. You can add or remove seats anytime from your Billing settings.

What's included in each team seat?+

Each team member can:

  • Create and manage approval workflows
  • Send approvals to clients
  • Track approval status
  • Download approved documents

You set their permission level (Admin, Editor, Viewer) when you invite them.

Can I cancel anytime?+

Yes! Markum is month-to-month with no long-term contract. You can cancel anytime from your Billing settings.

What happens to my documents if I cancel?+

Your documents are yours. You can download all approved documents and data before canceling. After cancellation, you lose access to create new workflows, but Markum won't delete your data.

Do you offer annual discounts?+

Yes! If you'd like to pay annually, you can get a discount. Contact sales to ask about annual pricing.

Security & Compliance

Is my data safe in Markum?+

Yes. Markum uses:

  • End-to-end encryption for documents in transit
  • AES-256 encryption for documents at rest
  • SOC 2 Type II compliance for security and reliability
  • Automatic daily backups for data recovery
  • HTTPS/SSL for all connections (green padlock)
How long do you keep my documents?+

By default, documents are stored as long as your account is active. Upon cancellation, you have 30 days to download your documents before they're deleted.

Can I export or download all my documents?+

Yes! You can download:

  • Individual approved documents anytime
  • All your workflow data and history

To request a full data export, contact support.

Is Markum compliant with GDPR?+

Yes! Markum complies with:

  • GDPR (EU General Data Protection Regulation)
  • CCPA (California Consumer Privacy Act)
  • PIPEDA (Canadian Personal Information Protection)

If you're in the EU and have questions about data processing, we have a Data Processing Agreement available.

What about HIPAA or healthcare compliance?+

Markum itself is not HIPAA-certified, but we can work with healthcare practices on compliance arrangements. If you need HIPAA-covered e-signatures, contact support to discuss options.

Can I see who has access to my documents?+

Yes! In each approval workflow, you can see:

  • Who was invited
  • Who has accessed the document and when
  • Who has approved and with what signature/date
  • Any comments or feedback left

Troubleshooting

My client says 'Approval link is expired'+

Approval links are valid for 30 days. If your client is seeing this:

  1. Log into Markum
  2. Find the approval workflow
  3. Click Resend Approval
  4. A fresh link will be sent to your client
I sent an approval but my client never received the email+

Try these:

  1. Check spam/promotions folder - Email filters sometimes catch ours
  2. Verify the email address - Make sure you didn't typo the address
  3. Ask your client to whitelist noreply@leonenkogroup.com - Add to contacts to prevent future issues
  4. Resend from Markum - Click "Resend" to send a fresh invite

If the issue persists, contact support.

My signature won't save when I try to sign+

Try:

  1. Clear your browser cache - Press Ctrl+Shift+R (Windows) or Cmd+Shift+R (Mac)
  2. Try a different browser - Sometimes browser-specific issues occur
  3. Check document size - Large documents (>10 MB) might have issues
  4. Try a different signature field location - Click a different area of the document to sign

Still not working? Contact support with details about your browser and the document.

The approval workflow is taking too long to load+

Try:

  1. Refresh the page - Sometimes a simple refresh helps
  2. Try a different browser - Isolate whether it's browser-specific
  3. Check your internet connection - Make sure you have a good connection
  4. Clear browser cache - Old cached files can slow things down

If it consistently takes too long, contact support.

Can I delete a document?+

Yes. In your approval workflows list, click the three-dot menu next to the workflow and select Delete. Deleted workflows are moved to trash and can be recovered for 30 days, then permanently deleted.

I accidentally deleted something. Can I recover it?+

If you deleted a workflow, it goes to Trash for 30 days. You can recover it by:

  1. Going to Trash in your sidebar
  2. Finding the deleted workflow
  3. Clicking Restore

After 30 days, deleted workflows are permanently removed. For other data recovery needs, contact support.

Best Practices

How do I make approvals faster?+
  1. Keep it simple: Only add the approval fields you really need
  2. Use clear field placement: Make it obvious where clients should sign/approve
  3. Write clear instructions: A sentence about what you need helps clients understand
  4. Set reminders: Enable auto-reminders for clients who forget to approve
  5. Follow up personally: A quick text or call often speeds things up more than automated reminders
Should I send a signature field or just an approval button?+

Use:

  • Signature field for legally binding agreements, contracts, or documents that need proof of approval
  • Approval button for feedback, feedback, or documents that just need confirmation
  • Checkbox + text field for specific confirmations (e.g., "I confirm I've reviewed this")
How often should I send approval reminders?+

A good rule of thumb:

  • First reminder: 3-5 days after sending
  • Second reminder: 1-2 days later
  • Final follow-up: Call or text if it's urgent

Most clients approve within 1-2 days if they're expecting it.

Can I use Markum for internal approvals?+

Absolutely! Many agencies use Markum internally for:

  • Manager approval of work before client delivery
  • Team sign-offs on documents
  • Formal approvals that need audit trails

Just add your team members' emails and set up the workflow.

What documents should I send for signature?+

Good candidates:

  • Contracts and agreements (service agreements, NDAs, terms)
  • Proposals (for final approval before execution)
  • Quotes (for client sign-off on pricing)
  • Releases (photo releases, liability waivers, permissions)
  • Change orders (amendments to contracts)

Less common but possible:

  • Resumes (for verification)
  • Health forms (for healthcare practices)
  • Feedback forms (for client feedback on your work)
